Calgary market vendor treats are not only about flavor. Customers remember the box they carried home, the apron they photographed, and whether your booth felt planned. At Soft Bakes by KC we treat packaging and team aprons as part of the same prep week as the oven schedule.
This is the bakery-side timeline we use before community markets and pop-ups. It pairs with how we brand booths in our pop-up branding post, but focuses on the week-of checklist instead of the big-picture story.
Seven days out: lock the treat menu and box look
Decide what sells at a standing table: cookie boxes that stack, pandesal trays that stay warm, and one limited item if you can bake it without slowing the line. Confirm box size, label stickers, and menu card wording so Instagram photos match what people see in person.
If you sell custom cookie boxes the same weekend, separate those pickups from market inventory so you are not shorting the booth for a bridal shower order.
Five days out: confirm apron and shirt readiness
Team aprons need to be pressed, washed once if fabric allows, and packed before bake day gets loud. We keep black or neutral aprons with a small chest logo because they survive flour, frosting, and long market hours. Shirts are backup for helpers who are not at the table the whole time.
We order DTF gear through Formulated Prints when we need small runs without screen print minimums. If you are still lining up art and press timing, Formulated Apps has a booth branding timeline for food vendors that matches this week.
Three days out: bake plan and packaging station
Write the bake order by product, not by vibes. Cookies that hold well can go earlier. Soft rolls closer to market morning. Set a packaging station the night before: boxes, tissue, stickers, business cards, and one spare apron. Soft Bakes bakes to order for customer pickups, so market prep still follows that same rule. Nothing ships to the booth until the list is confirmed.
Market morning: match what customers photograph
Put the cleanest boxes at the front edge of the table. Keep the apron logo facing the camera path people use when they walk the aisle. Price signs should be readable from three steps away. If a flavor sells out, remove the empty tray instead of leaving a sad gap. That small cleanup keeps tagged photos looking like a real Calgary bakery, not a rushed garage sale.
After the market: note what sold and what got tagged
Write down sell-outs, leftover counts, and which packaging showed up most in customer stories. That note becomes next market's shopping list. Merch that never appears in photos can wait. Treats that sell out before noon deserve a bigger batch or an earlier bake start.
Planning event merch and treats together still matters. Read our longer note on why we order treats and team merch together if you are building a new booth from scratch.
